Who we are
Island Investment Company Ltd manages and lets private villas and apartments in Tobago. This policy explains what we do with your information when you book with us directly through this website, or enquire about a stay.
We are the company responsible for your information. If you have any question about this policy, contact us at infoislreal@gmail.com or on 715 1901.
What we collect
When you make or enquire about a booking we collect:
- Your name
- Your email address and telephone number
- The dates of your stay and the property you are booking
- The number of guests, including how many are adults and how many are children
- Any special requests or arrangements you ask us to make
- Your country, and address details where these are needed to complete a booking
We do not collect or store your card details. Deposits and balances are paid by bank transfer, and where a card payment is offered it is taken through a secure payment form provided by our payment processor. Your card number does not pass through this website and is not seen or held by our staff. We never ask for card details by email or over the telephone.
Why we use it
We use your information only to:
- Take, confirm and manage your booking
- Contact you about your stay, including arrival arrangements and any changes
- Arrange anything you have specifically asked us to arrange
- Return or deduct from your damage deposit after departure
- Keep proper business and accounting records
Who can see it
Inside Island Investment Company Ltd, your information is seen only by the people whose job requires it:
- Our director, who oversees the business.
- Our accounts team, for payments, refunds and record keeping.
- Our reservations staff, to take and manage bookings.
- Our villa agents, who meet you at the property. They see your name, the number of guests and a contact number, so they can look after your arrival and departure. They do not see payment information.
Access is given by role and is limited to what each role needs. It is removed when someone changes role or leaves.
We do not sell your information, and we do not share it for anyone else’s marketing.
We share it outside the company only in these situations:
- When you ask us to. If you ask us to arrange a cook, a private event or a similar service, we will put you in touch with the supplier and you deal with them directly. We do this only at your request or with your agreement.
- Our payment processor, so that your payment can be taken and any refund made.
- Our website and email providers, who host the systems your booking is stored in.
- Where the law requires it, for example to meet a legal or tax obligation.
Marketing
We do not send marketing emails. The only emails you will receive from us are about your own booking: confirmations, payment reminders and arrival information.
How long we keep it
We keep booking and payment records for seven years after your stay. This is so we can deal with any query, refund or damage claim, and to meet our accounting and tax obligations.
We do not keep your information for longer than that, and we do not keep it for marketing at all. Once the seven years has passed, records are deleted or anything that identifies you is removed.
Cookies
This website uses cookies. Some are necessary to make a booking work, for example remembering the dates and property you have selected while you move between pages. Others help us understand how the site is used so we can improve it. You can control cookies in your browser settings, though blocking the necessary ones will stop the booking form from working.
Your rights
You can ask us at any time to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your information, where we are not required to keep it
- Stop using your information for a particular purpose
Write to infoislreal@gmail.com and we will respond. If you are not satisfied with how we have handled your information, you are entitled to raise it with the relevant data protection authority in Trinidad and Tobago.
Changes to this policy
If we change how we handle your information we will update this page and change the date at the top.
